Privacy and Security of Data held by Hibernia Roots Genealogy Services

This privacy notice provides you with details of how we collect and process your personal data through your use of our site www.hiberniaroots.com

By providing us with your data, you warrant to us that you are over 13 years of age.

Noreen Maher is the data controller, and we are responsible for your personal data (referred to as “we”, “us” or “our” in this privacy notice).

  1. Most clients contact Hibernia Roots through the website where they complete an assessment form through a link on the relevant webpage.

  2. The assessment form gathers information on the subject to be researched giving sufficient information to identify the correct subject and location.

  3. The client submits their contact details, such as, name, address, phone number and email address. This information is only requested in order to follow up in case of query or additional information needed and finally for despatching the end product/report either in hardcopy format in the post or via cloud storage links. 

  4. Most records are sourced online but some such as civil records may be obtained from the repository in hard copy. These hard copies are scanned so that they can be emailed or stored in a dedicated electronic folder for the client. When research is complete the records are combined and uploaded to cloud storage and access is given to the client to retrieve the records and reports.

  5. Hardcopies of the file and research are stored in a folder for each individual client/subject and stored in a filing cabinet off-site in a locked room, but within the same property. Most records relate to deceased ancestors and are therefore exempt under Article 89 Recital 160 of the GDPR.

  6. An off-the-shelf family tree database package (FamilyTreeMaker) is uploaded on a laptop and may contain personal data of living subjects used to generate a family tree chart and report. The laptop is password protected.

  7. Electronic data created is saved on a dedicated usb storage device.

  8. A 7 year retention policy is in place. Hibernia Roots is in existence since 2013.
